Configurator data

Colours, patterns, quantities, names, numbers, sizes, logos and images you enter are processed in your browser. The project is saved on your device so you can resume it; it is sent to Equipado if you explicitly submit a quote request including the project or start calculating a purchase at checkout. No account is required.

Storage enables the feature you requested. Only enter data and images you are authorised to use, particularly when they concern minors. You can try the studio with fictional data. Blocking storage may prevent your project from being saved.

Contacts, quotes and orders

When you submit the form, we record your details and the included project in a private Equipado service and assign a reference. Our team receives a notification at the business email address; if notification delivery fails, the request remains saved and the notification is retried. Requests cannot be viewed publicly. Requests without an order are deleted from this register after 24 months; business records follow the applicable legal retention periods.

When you contact us by email or through the form, you provide contact details, your message and any attachments you choose to send. In the review form, the specified project is included after you confirm you may send the data. The reference confirms registration in the service, but not that our team has read it. We use Google Gmail to manage this email. We process data needed to reply, prepare quotes and fulfil orders on the basis of pre-contractual steps or a contract. Other support requests and the defence of rights are based on our legitimate interest in responding and protecting our business; tax and accounting obligations are based on the law.

Required information varies by request. Without essential contact details or specifications, we may be unable to prepare a quote or fulfil an order. The configurator does not make solely automated decisions with legal effects: a simulation does not accept orders or collect payments.

Checkout and payments

To calculate a purchase, we receive your project, contact details, addresses and tax number if provided. Quotes expire after 30 minutes and expired quotes are deleted periodically. When you order, we save a copy of the project, size allocation, prices, taxes, delivery costs and accepted conditions. Order records are retained to fulfil the contract and legal obligations; the quote-request deletion routine does not delete them.

We send Ifthenpay your order reference and amount. Payment details are entered on the provider’s page, which sends us confirmation. We do not store card details. See Ifthenpay’s policy. Checking your order status on the website requires the private key saved in your browser.

Newsletter and customer management

If you subscribe to the newsletter, we send your email address to Brevo to manage the subscription. We record the date and consent-text version. You can unsubscribe using the link in our messages or contact us at geral@equipado.pt. Subscription is optional and independent of quote requests. We retain your subscription until you withdraw consent; erasure requests also cover Brevo and the local register, except for data needed to respect your objection.

When an order is confirmed by our team or online payment is confirmed, the customer’s email is added to the customer list in Brevo. A quote request is not an order and does not subscribe you to the newsletter. See Brevo’s privacy policy for information about the provider.

Downloads and sharing

Exported files may include names, numbers, sizes and images. Files are only downloaded or shared when you choose these features. The person and application you select receive the shared content. An email link opens your email app; only you send the message.

Hosting, security and providers

The website runs on infrastructure shared with Tricurv, with Cloudflare providing delivery and traffic protection. Access transmits your IP address and technical information needed to deliver pages, prevent abuse and diagnose faults. The legal basis is our legitimate interest in keeping the service available and secure.

Fonts are served by this website, without requests to Google Fonts. Providers used are Cloudflare for delivery and security, Google for Gmail and Google Analytics, Microsoft for Clarity, Ifthenpay for online payments where available, and Brevo for the newsletter and customer list. Recipients of shared files are those you choose. When an order requires delivery or invoicing, only necessary data is communicated to the transport and accounting providers involved. Data may also be disclosed to authorities when required by law.

Analytics with consent

With your permission, Google Analytics 4 measures visits and usage events; Microsoft Clarity analyses browsing, clicks and session recordings. They may process pseudonymous identifiers, device data, visited pages and interactions. Personalised content in the studio, review, checkout and confirmation is masked for Clarity. Events defined by Equipado do not include names, contact details, images or player lists.

These services only load after you accept analytics. We do not enable advertising, Google Signals or ad personalisation in this configuration. You can refuse without losing functionality and withdraw consent through “Privacy preferences” at the bottom of the page. Withdrawal does not affect the lawfulness of earlier processing. See also the cookie policy.

Retention periods

Contacts, emails, quotes and customer files
For up to 24 months after the last contact or completion of the most recent order, whichever is later, and only while necessary. They are then deleted or anonymised.
Tax and contractual documents
For the applicable legal retention periods. Data needed for a dispute may be retained for as long as necessary to defend rights.
Project on your device
No automatic expiry, until you replace it, delete it or your browser removes it. You can delete it on the cookies and local storage page. Downloaded files remain under your control.
Google Analytics 4
2 months for detailed user and event data, without renewal of the user retention period on new activity. Deletion follows Google’s processing cycle; aggregated reports are not subject to the same period.
Microsoft Clarity
30 days for recordings; 9 months for heatmaps, click data and tagged or favourite sessions, according to Microsoft’s retention policy.
Diagnostic logs controlled by Equipado
Up to 30 days for routine diagnostics. In an incident, only necessary information is kept until resolution or for as long as needed to defend rights. Providers’ own technical logs follow their security criteria and legal obligations, described in their policies.
Consent choice
180 days in your browser, after which you are asked to choose again.

International processing

Google, Microsoft and Cloudflare operate international infrastructure, so data may be processed outside the European Economic Area, including in the United States. Their policies describe applicable mechanisms, such as adequacy decisions, the EU–US Data Privacy Framework for covered entities and processing, and standard contractual clauses where necessary.

See Google’s transfer mechanisms, Microsoft’s privacy statement and Cloudflare’s policy. You can request information about recipients and safeguards applicable to your data by contacting geral@equipado.pt.

Rights and complaints

Under the GDPR, you may request access, rectification, erasure, restriction, portability and objection where applicable, and withdraw consent. Send your request to geral@equipado.pt, identifying Equipado. We may request only the information strictly necessary to verify your identity.

We reply within one month; a lawful extension of up to two additional months requires notice and justification. You may complain to the Portuguese Data Protection Authority (CNPD). Data stored only in your browser must be edited or deleted on that device; we cannot recover a copy that has not been sent to us.

Updates

This policy is reviewed when services or data processing change. The version date appears at the top of the page.
